PART-TIME ADMIN ASSISTANT (VOLUNTEER)

5-10 hours / weekly
6 month term
Afri-Can Connect Society (ACS) is a dedicated non-profit organization based in Calgary, committed to creating and implementing integration programs for new African immigrants to Canada. Our mission is to support African immigrants in their journey to integrate successfully into Canadian society through education, community engagement, and support services.
We are looking for a creative and driven Volunteer Admin Assistant to join our team and help the leadership team with regular and ongoing administrative support to build operational excellence.

POSITION OVERVIEW:
We are seeking a motivated and organized Volunteer Part-Time Admin Assistant to support our leadership team and Board of Directors. This role requires a detail-oriented individual with exceptional organizational, communication, and multitasking skills. The Admin Assistant will be responsible for managing schedules, handling correspondence, and assisting with various administrative tasks to ensure the smooth daily operations of the organization.
Key Responsibilities:
Communication:
•	Serve as the primary point of contact for internal and external communications.
•	Respond to emails, phone calls, and other inquiries in a timely and professional manner.
•	Assist in drafting and proofreading correspondence and other written materials.



Calendar Management:
•	Coordinate and schedule meetings, appointments, and events for the leadership team and Board of Directors.
•	Maintain and update the organizational calendar.
•	Send reminders and follow-ups for scheduled meetings and events

Project Management:
•	Assist with the planning and execution of special projects and events.
•	Conduct research and compile information to support decision-making and strategic planning.
•	Support with grant writing and collaboration with external partners and organizations
•	Track project timelines and deliverables, ensuring deadlines are met.

Reporting:
•	Prepare and distribute meeting agendas, minutes, and reports.
•	Maintain accurate and up-to-date records and files.
•	Assist in the preparation of presentations and other documents as needed.

Key Knowledge and Skills Expectations:
•	Experience working in a non-profit organization is considered an asset.
•	Familiarity with project management tools and software.
•	Knowledge of basic accounting and budgeting principles
•	Proven experience as an Executive Assistant, Administrative Assistant, or similar role.
•	Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook) 
•	Excellent organizational and time management skills.
•	Strong written and verbal communication abilities.
•	Ability to multitask and prioritize tasks in a fast-paced environment.
•	Attention to detail and problem-solving skills.
•	Discretion and confidentiality.

Time Commitment:
•	Approximately 5-10 hours per week, depending on ongoing projects and initiatives.
•	Attend quarterly board meetings (approximately 3 hours each).
•	Support with committee meetings and special events as needed.
