Project Implementation Assistant

The Resilient Immigrant Foundation (TRIF) is an Edmonton-based nonprofit organization focused on improving the overall health and well-being of immigrant men in Edmonton. Our key initiatives for our Park & Walk Program involves organizing weekly walks to promote physical activity, mental wellness, and social connections among immigrant men. These walks aim to reduce isolation, improve fitness levels, and provide a supportive environment for men to discuss health-related issues. Our monthly step challenges are to promote a lifestyle change while our quarterly men’s health summit is to teach men about their health imperatives. Currently the program has participants from several ethnocultural communities in Edmonton. The goal of the project includes enhancing the reach and impact as well as the numerical strength of the participants in the program. POSITION OVERVIEW: We are seeking for a motivated and organized volunteer Project Implementation Assistant to support our leadership team and Board of Directors. This role requires a detail-oriented individual with exceptional organizational, communication, and multitasking skills. The Project Implementation Assistant will be responsible for managing schedules, handling correspondence, and assisting with various administrative tasks to ensure the smooth daily operations of the organization. Project Implementation Assistant (VOLUNTEER) 5-10 hours / weekly 12-month term Key Responsibilities: Communication: • Serve as the primary point of contact for internal and external communications. • Respond to emails, phone calls, and other inquiries in a timely and professional manner. • Assist in drafting and proofreading correspondence and other written materials. Calendar Management: • Coordinate and schedule meetings, appointments, and events for the leadership team and Board of Directors. • Maintain and update the organizational calendar. • Send reminders and follow-ups for scheduled meetings and events Community Engagement • Manage and secure relationships with ethnocultural communities for outreach programs. • Source and engage indigenous elders for summits • Source and secure spots for community outreach drop-in (min of 2/month) Project Management: • Assist with the planning and execution of weekly walks, quarterly summits, special projects and events. • Conduct research and compile information to support decision-making and strategic planning. • Track project timelines and deliverables, ensuring deadlines are met • Recruit, designate and manage volunteers • Schedule and coordinate peer-to-peer speakers for walks • Source and engage groups for cultural performances at Summits and community outreach events • Secure spots for community outreach drop-in programs *2 Reporting: • Prepare and distribute meeting agendas, minutes, and reports. • Maintain accurate and up-to-date records and files. • Assist in the preparation of presentations and other documents as needed. Key Knowledge and Skills Expectations: • Experience working in a non-profit organization is considered an asset. • Familiarity with project management tools and software. • Proven experience as an Executive Assistant, Administrative Assistant, or similar role. • Proficiency in Google Workspace. • Excellent organizational and time management skills. • Strong written and verbal communication abilities. • Ability to multitask and prioritize tasks in a fast-paced environment. • Attention to detail and problem-solving skills. • Discretion and confidentiality. Time Commitment: • Approximately 5-10 hours per week, depending on ongoing projects and initiatives. • Attend quarterly board meetings (approximately 2 hours each). • Manage and deliver weekly walks, outreach programs, meetings and special events as needed. Certification or Education Required
• Experience working in a non-profit organization is considered an asset. • Project management Certification and/or experience.
