Organization Description

Our chorus nurtures singers to gain confidence in a fun and joyful atmosphere that honours our many diversities. We promote meaningful relationships among our members, our local 2SLGBTQIA+ community, and our mid-Vancouver Island society to foster resilience, equity and justice for all. 

Position Overview:
The Chairperson of the AVIVA Concert Committee leads the planning and execution of a specific public performance for the AVIVA Chorus. This role involves coordinating with other committees, managing event logistics, and ensuring the performance aligns with AVIVA’s mission, vision, and values.

Key Responsibilities:

Leadership & Oversight:
Chair committee meetings, ensuring effective collaboration and communication among members.
Act as the primary liaison between the committee and the Music Programming Committee.
Guide the committee’s activities in alignment with approved Terms of Reference and ensure accountability.

Performance Planning:
Collaborate with the Music Programming Committee to define the size, type, and budget for AVIVA Chorus performances.
Monitor and manage expenses to ensure alignment with the approved budget.

Venue & Logistics Management:
Identify and secure a venue that meets the chorus's needs, ensuring accessibility and compliance with performance requirements.
Coordinate contracts for the venue, guest performers, accompanists, and service providers with approval from the Financial Operations Committee.
Oversee arrangements for stage setup, sound equipment, and technical support.

Collaboration:
Work closely with the Chorus Director to finalize set lists, solo performances, and guest musician participation.
Partner with the Marketing and Promotions Committee to execute a publicity plan that includes social media, posters, and concert programs.
Coordinate with the Financial Operations and Sustainability Committees for ticketing, sponsorship, and fundraising.

Event Execution:
Organize volunteers for front-of-house duties, concessions, and venue decoration.
Ensure smooth operations on performance day, from sound checks to audience seating.
Maintain records of the event for reporting and historical purposes.

Reporting & Accountability:
Provide regular updates to the Music Programming Committee, including budgets, plans, and outcomes.
Document meeting minutes and decisions and prepare reports on committee activities.

Qualifications:
Leadership experience, preferably in event planning or non-profit organizations.
Strong organizational and budget management skills.
Excellent interpersonal and communication abilities.
Experience in coordinating large-scale events is an asset.
Commitment to AVIVA’s mission and values.

Time Commitment:
Participation in committee meetings and planning activities leading up to the performance.
Availability for concert day coordination and post-event reporting.
Reporting Structure:
Reports directly to the Music Programming Committee and collaborates with other AVIVA committees and the Chorus Director.
